Court Claims Hub Privacy Policy
Effective October 1, 2026. How we handle information in Court Claims Hub, including the case information attorneys entrust to us.
1. Who we are
Court Claims Hub is operated by CSI Professional Services, LLC (“CSI,” “we,” “us”), a Texas limited liability company. This policy covers the Court Claims Hub service at csicch.com. Questions go to privacy@csiproserv.com.
2. The short version
We collect what we need to run a voucher-preparation service for attorneys and to bill for it. We do not sell personal information, we do not use it for advertising, and we do not use case information for anything except providing the Service to the attorney it belongs to. Card numbers never reach our servers.
3. Information we collect
Account information. Name, email address, State Bar of Texas number, firm name, mailing address and phone number for attorneys; name and email for paralegals and staff invited to an attorney's team. We also keep an image of the signature an attorney chooses to save.
Case information. Appointment notices forwarded to our intake address, and the information drawn from them or entered by you: defendant name, cause number, court, offense, dates, SID and booking numbers, hours and fees, plus any documents you upload and the vouchers generated.
Billing information. Subscription status, amounts, dates, and the card brand, last four digits and expiry. We never receive or store full card numbers; the card is exchanged for a token by Intuit in your browser.
Support information. Messages you send to support, by email or from the Help page in the Service, together with anything you attach. When a request is sent from inside the Service we also include context that helps us answer it: your account and role, the attorney team you belong to, the version of the Service you are using, and your recent activity in it. Support correspondence is stored in CSI's internal support system, which runs on the same providers listed below.
Sign-in information. Authentication is handled by Auth0. We store your email and an Auth0 identifier; we never see or store your password.
Usage and activity. An activity log of actions taken in the Service (vouchers created or updated, team changes, intake resolutions), and standard server logs from our hosting providers, which may include IP address, browser type and timestamps.
We do not use advertising cookies or third-party analytics trackers in the Service. Cookies are used only to keep you signed in.
4. Case information belongs to the attorney
Case and defendant information is confidential. It is entered by, or forwarded by, the attorney appointed to the case. CSI stores and processes it on that attorney's behalf, to provide the Service, and for no other purpose. Access inside the Service is limited to the attorney and the team members they invite. A small number of CSI administrators can access it when needed to operate the Service or to resolve a problem, such as an appointment notice that could not be matched automatically.
5. How we use information
To create and maintain accounts; to turn appointment notices into cases and vouchers; to generate the PDFs you submit; to take subscription payments and send receipts; to send service messages such as invitations, payment notices and account alerts; to provide support; to keep the Service secure and diagnose problems; and to meet legal obligations.
We do not sell personal information, share it for cross-context behavioral advertising, or use case information to train machine-learning models.
6. Who we share information with
We use a small number of service providers who process information only to provide services to us:
- Vercel — hosting of the application.
- Cloudflare — database, file storage and inbound email routing.
- Auth0 (Okta) — sign-in and password management.
- Resend — delivery of our outgoing email.
- Intuit (QuickBooks and QuickBooks Payments) — payment processing and accounting records. Intuit receives the subscriber's name, email, billing address and card details, and its own privacy policy governs that processing.
We also share information when you ask us to, and when we are legally required to, such as a subpoena or court order. If we are ever required to produce case information, we will notify the affected attorney unless the law forbids it. If the business is sold or merged, information may transfer with it, subject to this policy.
7. How we protect information
Traffic to the Service is encrypted in transit (HTTPS). Data is stored with our hosting providers, who encrypt it at rest. Access to the database and file storage is limited to the application through a secret-protected gateway, and administrative access is limited to named CSI personnel. Passwords are held by Auth0, not by us. Full card numbers are never transmitted to or stored on our servers.
No system is perfectly secure. If a breach affects your information, we will notify affected users and any regulators as required by law, without undue delay.
8. How long we keep information
Account and case information is kept while the subscription is active. After a subscription ends, information is retained for 90 days so it can be restored or exported, then deleted on request. Billing records and the activity log are kept longer where required for tax, accounting or legal purposes. Backups are kept for up to 30 days by our database provider. An attorney may ask us to delete their data sooner, subject to those legal obligations.
9. Your choices and rights
You can view and update your profile in the Service, change or remove your saved signature, replace your card, and cancel your subscription from the Billing page. Service messages such as receipts and account notices are part of the Service and cannot be unsubscribed from while an account is active; we do not send marketing email from the Service.
Depending on where you live, you may have rights to access, correct, delete or obtain a copy of your personal information, and to appeal a refusal. Texas residents have rights under the Texas Data Privacy and Security Act. To make a request, email privacy@csiproserv.com. We will verify your identity before acting, and we will not discriminate against you for exercising a right.
Where case information concerns a third party, such as a defendant, the attorney who entered it is the right point of contact; we will refer such requests to that attorney.
10. Children
The Service is for legal professionals and is not directed to children. We do not knowingly collect information from anyone under 18 as a user of the Service. Case information may concern individuals of any age, and is handled as confidential case material rather than as the personal information of a Service user.
11. Where information is processed
The Service and our providers operate in the United States. If you access the Service from elsewhere, your information is processed in the United States.
12. Changes to this policy
We may update this policy. If a change is material we will email subscribers and post the updated policy here before it takes effect, with a new effective date.
